What we do with the information we collect from the form
Question: What are the reason for collecting this information?
This is so that we can send the individuals promotional materials in connection with the campaign- posters/stickers/newsletters etc. , providing us with a point of contact in relation to the campaign and ensuring that the organisations/individuals listed are a way of driving the campaign knowing where and who has signed up which assists with further targeted work to spread the campaign far and wide promoting a more tolerant society.
Question: Where is the information stored once it has been emailed?
Within a database that is part of the force website but this is not visible to the public. Only the details of the organisations that have signed the pledge can be viewed from the main website page on a google map. The organisational information is also stored in a spreadsheet (on the Force's internal secure system) that is used to update the google map. Once a month the information from the website is emailed to the diversity team were it is stored on the Force's internal secure systems. The information is then deleted from the website database but not from the Google map.
Question: Who has access to this information?
The web team and the diversity team.
Question: How long is the information held for?
No time limit has been set to hold the information at present. This can be subject to review and at a minimum it would be preferable to maintain the organisations if not the individual who has actually signed the pledge.
Question: If a person wants to have the emailed information deleted, or removed from any Force database, or devices it has been saved to which email address do they send this request to and how long will the process take.
Diversity Devon – it will be updated as soon as possible but within two weeks, we will email you when we have deleted the information.
